It is important that all offices are entering the Fairwater vessel file number correctly when creating UPS airway bills in the CampusShip system.
When creating a UPS airway bill in CampusShip, the Fairwater vessel file number must be entered in the “nickname / reference number” field as shown below. Please note the following important rules:
- Only the Fairwater 7-digit file number plus 1 alpha file type should be entered (example: 2423184W)
- This Vessel File Number is the only value that is to be entered into this field. Do not type in any other number beside the file number
- We have been seeing the below errors regularly, which must be avoided:
- Leaving off the alpha file type – remember to include the alpha file type (P, W, A, B, C, D, etc.) at the end of the 7-digit file number.
- Do not include any dashes in the file number (example: 2423184-W is not acceptable; it must be entered as 2423184W)
- Do not include vessel name before or after file number.
- Do not enter the Simply5 file number for S5 calls. For S5 vessel calls, you must enter the corresponding Fairwater vessel file number.
- Do not enter a file number for a vessel call that has been cancelled in Fairwater. If you have sent a UPS package for a cancelled call, then please code to another recent call for same Principal.
- Do not leave this field blank. If the UPS cost is not billable, then enter “not billable” in place of vessel file number.
